Building One System to Run Bentree’s Orders and Inventory

A custom retail application connecting orders, inventory, sales, barcodes, and profitability.

Bentree is a men's lifestyle brand operating through both online and physical sales channels. As the business grew, managing website orders, store sales, inventory, returns, exchanges, stock locations, and reporting through separate processes became increasingly difficult.

We developed Bentree OMS as a custom retail management application that brings these activities into one connected operational system.

The Requirement

One operational system for the whole retail journey

Bentree needed more than a simple order management tool. The business wanted a central system capable of following every order throughout its complete journey.

Online orders needed to move from pending to confirmation, dispatch, and delivery while maintaining separate workflows for holds, exchanges, returns, and cancellations. Store sales also needed to enter the same system so inventory and reporting would reflect both online and offline transactions.

Inventory was another major requirement. Bentree products include different sizes and quantities, so stock needed to be tracked at product and size level. The system also needed to manage physical stock locations, generate barcodes, support barcode scanning, and maintain visibility over product movement.

Management needed access to sales information, product cost, online versus store performance, expenses, stock position, and profit or loss. Finally, the WooCommerce website needed to connect directly with the OMS so website orders could flow into operations without being manually recreated.

The Challenge

Every retail action affects another

The main challenge was that every part of the retail operation affects another part. An order reduces stock. A cancellation may restore it. A return affects both inventory and financial reporting. An exchange may involve returning one item and issuing another.

Store sales and online sales are different customer journeys but often rely on the same inventory. Trying to maintain these relationships through disconnected tools increases the risk of duplicate work, inaccurate stock figures, and incomplete reporting.

The solution therefore needed to behave as one connected system rather than a collection of independent features.

Designing the Operational Workflow

Designed around the real journey of an order

We designed the application around the real journey of Bentree's orders. Orders move through clear stages, allowing the team to immediately see which orders are pending, confirmed, dispatched, delivered, held, exchanged, returned, or cancelled.

Physical store transactions enter the same operational environment, helping create a single source for both online and offline sales activity.

The interface is organized around actual daily tasks, including orders, dispatch, returns, exchanges, inventory, store sales, online sales, stock locations, barcode operations, and reporting. This gives team members a clearer view of what requires action without forcing them to move between multiple systems.

Real-Time Inventory and Barcode Management

Stock connected directly with order activity

Inventory is directly connected with order activity. Stock can be tracked by individual product and size, giving Bentree a more accurate view of available inventory than a simple total quantity.

Inventory information also includes cost, selling price, sales quantity, revenue, and relevant profitability data. Physical locations such as shelves, display areas, bags, and cartons can be assigned within the system, connecting digital inventory records with where products are actually stored.

Barcode functionality was also built into the OMS. The application can generate barcode labels for products and sizes, while hardware barcode scanners support faster product identification and operational processing. This removes the need to manage barcode activity through a completely separate system.

Connecting eCommerce With Operations

Website orders flow directly into operations

One of the most important parts of Bentree OMS is its connection with the brand's WooCommerce store. The two systems communicate through the WooCommerce REST API and automated cloud functions.

Orders placed on the website can enter the OMS automatically so the operational team can begin processing them without manually entering the same information again. Relevant OMS updates can also synchronize with WooCommerce where required, helping keep customer-facing commerce and internal operations connected.

The website remains Bentree's customer-facing sales channel, while the OMS manages what happens after an order enters the business. This connection significantly reduces repetitive work and creates a more unified digital retail workflow.

Business Reporting in the Same Platform

Sales, stock and profitability in one view

The system brings online and offline sales into a shared reporting environment.

Management can review sales activity by channel while maintaining visibility over units sold, revenue, product cost, discounts, returns, and profitability. Monthly expenses can also be included to provide a broader view of actual business performance.

Inventory and sales reporting remain connected, making it easier to understand which products are moving, what remains in stock, and how stock changes occurred.

Instead of assembling information from several independent spreadsheets or systems, Bentree can access a much clearer operational picture from one application.

Developing the Custom Application

Built around Bentree's actual operating process

Bentree OMS was built as a custom React 18 application.

Firebase Firestore provides real-time operational data across orders, inventory, locations, and reporting. Firebase Cloud Functions running on Node.js handle backend processes and integrations with the WooCommerce store.

The frontend uses Vite and Tailwind CSS, while Firebase also provides authentication and application infrastructure.

Role-based access ensures that operational employees can reach the functions relevant to their work while more sensitive financial and management information remains limited to authorized users.

The Final Product

Bentree OMS provides one central operational platform for managing the brand's retail activity. The complete journey of an order can be tracked inside the application.

Inventory remains connected with sales and can be tracked by product, size, and physical location. Website orders flow directly into the system, while store sales become part of the same inventory and reporting structure.

Barcode generation and scanning support day-to-day product handling. Management can review sales, stock, cost, expenses, and profitability without assembling information manually from multiple sources.

Most importantly, the application was built around Bentree's own process. That is the primary value of custom software development in this project. Instead of forcing Bentree to adapt its operation to a generic retail system, the software was designed around how the business actually receives orders, handles inventory, processes sales, manages returns and exchanges, and evaluates performance.
